Advisor chat

After a conversation with the chatbot, a user who has not received sufficient help may be put in touch with a Digiposte advisor, if an advisor is available at that time.

C

Certified document

Certified documents have the value of an original and can be used for administrative procedures. The company deposits them in Digiposte for a user and the documents comply with applicable standards and regulations (via a certificate of authenticity). They have the same legal value as their paper equivalents. The user remains free to manage the documents in their safe: they can be deleted or moved.

Chatbot

A chatbot is a virtual assistant that dialogues with a user and answers their questions. It can analyse and understand the message while executing the requested action. Digiposte has created a Chabot to answer user questions 24/7. It can be found on the registration, activation and login pages, as well as on the online user help page. Users can move on to an advisor if the chatbot's automatic answers aren't enough.

Code 1 et Code 2

Codes 1 and 2 identify users during the registration process. The codes must respect the following rules: - They must be known to the recipient or easily accessible - They must be personal enough that they cannot be understood by anyone else - They must not contain all or part of the user's social security code Within the limits of these rules, the issuing organisation is free to make up its codes. In most cases, code 1 corresponds to the registration number and code 2 to the security code.

Deployment

The deployment phase consists of implementing the Digiposte solution in a company for the purpose of digitising a procedure. The deployment has three phases: contracting, application and monitoring.

Digital safe

The digital safe (also called an electronic safe) is a tool used to digitise documents and data. It is a personal and secure space for storing, receiving and archiving virtual documents.

Digitisation

The digitisation phase consists of replacing material information (contracts, invoices, certifications, bank statements, etc.) with secure digital files.

Distributor

Designates a partner company that has contracted with Digiposte to market the solution to customers. The distributor is technically connected to Digiposte, and acts as an intermediary between the customer and Digiposte.

Issuer

Designates the legal entity that has entered into a digitisation service contract with a distributor or Digiposte.

O

Opt-in

An opt-in deployment consists of considering paper to be the default distribution format. In these circumstances, the transition to digitised mode only takes place with the user's express consent.

Opt-out

An opt-out deployment consists of considering digital deposits to be the default distribution format. The user must expressly state their opposition, in any way, at least 30 days before the deployment phase, if they wish to keep the paper format. The user can return to their initial choice at any time.

PURL

Personalised URL sent when a safe is created by the issuer, enabling the user to activate and take control of their Digiposte safe.

Pilot

Consists of launching the digitisation project for a limited number of users. This confirms that the pre-established rules and systems function as designed before they are extended to all users.

R

Reference document

All of the data needed to create or cancel a registration.

Refusal

Before the deployment, the user can express their refusal at least 30 days before the first digitisation, in any way they wish.

Registration

Registration refers to the association of a benefiting company with a user's safe.

Registration number

The registration number corresponds to the first code that identifies the user. It must be unique and easy for the user to access. It is used to activate the user's safe and identify them to Digiposte departments. The code is chosen by the issuer, who must tell it to Digiposte when the safe is created.

Registration status

Reflects a user's status and determines their status at any given time. It lets the issuer orient paper and digital distribution.

Routing code

The routing code is technical data that uniquely and clearly identifies the path for depositing documents in a specific digital safe.

S

Security code

Corresponds to the second code, enabling the user to activate their safe. This is single use, must be personal and accessible by the user. Where possible, Digiposte recommends that the code be meaningful. The user should be informed of how the codes are generated.

W

Whitelisting

Action authorising domains and/or IP addresses, to enable efficient communication between two information systems. Digiposte recommends whitelisting its delivery domains before the 1st document deposit.
